Description

Position Overview

Act as liaison between Purchasing and Demand Planners, Sales Department, Internal Warehouse and the Third Party Warehouse. Upon the direct supervision of the AVP and Vice President of Sales and within established policies and procedures, the position performs the following functions:

Essential Job Functions:

DHL Warehouse Liaison Duties

  • Organize & prepare all item returns to warehouse, communicate with appropriate office/accounting staff members
  • Track affidavits brought to warehouse and return to DHL if appropriate as stated above
  • Work with accounting to reconcile all NHLC affidavit returns
  • Work with external warehouse to handle all local uncoded/damage issues
  • Coordinate with external warehouse to inspect any questionable product and report back to appropriate office/sales staff
  • Work with various suppliers on issues of case-code labeling and new case-printed formats
  • Submit all requests to DHL: pallet building, vintage checks, etc.
  • Daily inventory receiving, posting and report distribution
  • Bi-Weekly inventory tracking and report distribution Sales Administrative Duties
    • Print monthly sale tag requests for sales team
    • Provide general sales support as needed
    • Sales travel arrangements
    • Meeting registrations
    • Manage tastings and file with the NHLC Secondary Functions:
      • Primary BACKUP for Office Coordinator for phone duties at reception
      • Check in all samples to the cage, sticker, inventory and place on racks
      • Pull and stage all sales sample requests as directed by Sales Management
      • Learn and maintain all sample reporting and sample inventories for Sales Department
      • Pull and stage employee purchases
      • Submit POS requests for Retail Sales Manager/sales team as needed
      • Create and distribute the four market sell sheets monthly to the salespeople as well as maintaining customer emails and send out email blasts to the four markets
      • Email NH & ME Monthly Price Reports to suppliers as needed
      • Email Program Calendars to suppliers as needed
      • Work with salespeople/suppliers on sale pricing information for presentations.
      • Set up all deadlines and State Special Sale Calendar in Outlook for management
      • Maintain customer database
      • Convert the NHLC's Top 1200 Report into preferred format
      • Quarterly Price Book: Generate and print the sales and public category versions of the price book and distribute as needed to office and warehouse
      • Proofing Sales Program Calendar
      • Put all printed materials away in warehouse
      • Event participation (set-up and break down should be considered) Requirements

        Knowledge, Skills and Abilities:
        • Accuracy Positive attitude, ability to contribute in a team atmosphere.
        • Flexibility to adjust to multiple tasks with tight deadlines.
        • Ability to demonstrate courtesy, compassion and respect in relating to suppliers and clients.
        • Maintains confidentiality of all internal activities and communications.
        • Ability to manage periodic and/or seasonal times of heavy workload or stress.
        • Ability to respond appropriately to unexpected situations.
        • Ability to lift up to 30lbs, carry, push, pull or otherwise move objects Education/Training/Experience
          • High school diploma or equivalent
          • Strong general computer skills including Microsoft Excel, Word, Power Point & Access
          • Strong comprehension of Social Media and general internet applications
          • Excellent communication skills Physical Demands and Environment:
            • Work performed requires or no measurable physical exertion, may be required to lift objects weighing up to 10 pounds
            • Work is performed in a normal office sitting with intermittent standing or sitting as determined by the incumbent
            • Work requires moderate concentration to effectively execute varied tasks with some level of complexity
            • Works in a normal office environment
            • Minimal potential for injury in the performance of duties
