Job Summary -This position provides administrative support to a Client-based Biotech company in the Manchester, NH. -This is a dynamic position that requires attention to detail, best-in-class customer service and a can-do attitude. The ideal candidate will be professional, articulate and enjoy working within a collaborative, fast-paced start-up environment. He/she will leverage a broad range of skills with a high degree of professionalism, initiative, proactivity and collaboration, and exercise good judgment in a variety of situations. He/she must be able to work under pressure with the ability to handle a wide variety of activities with significant attention to detail and handle confidential matters with discretion.Responsibilities

Provides administrative support and coordinates backup support to other administrators during periods of high volume, vacations, etc.Regularly handles, scans, and processes confidential and proprietary information with utmost discretion.Proactively manages calendars with the ability to schedule and prioritize meetings, resolve schedule conflicts, and stay several steps ahead to maintain efficiency.Manage corporate office expense reporting, purchasing, and corporate credit cards.Manage high level meeting planning and logistics e.g., board of director meetings, team off-sites and special events. This includes preparing and printing materials, comprised of; reports, PowerPoint presentations, spreadsheets, and other documents / materials, as needed.Schedule, coordinate, and document weekly and ad hoc meetings, attend as required.Participate in Teams meetings and channels, as well as participating and/or leading in projects and initiatives as requested by the management team.maintaining records management policies and procedures, in accordance with DENS policies.Attend client meetings, facility walk throughs and other local travel as required.Assist in the preparation and tracking of client proposals; provide assistance with and tracking of scheduling, timesheets and invoicing, following systems and procedures as required for same.Manage office, provide office support services including ordering of supplies, pantry, and subscriptions of office supplies through Amazon and other accounts; maintain inventory and keep office stocked as needed.Support the ongoing management of client contact and contracts databases, including internal tracking systems, update and provide quality assurance as needed (software platforms TBD).Supports Human Resources with maintaining documents within the HRIS.Assist in managing payroll systems for Technical Services Division; maintain and manage work order tracking system, invoicing, and proposals.Prepares and supports development and maintenance of company Standard Operating Procedures (SOPs).Respond to call center messages and answer phone.Qualifications
Prior experience with a start-up is preferred.Ability to work adjacent to a lab environment. 5+ years previous administrative experience. A thorough knowledge of Windows, internet tools and apps, and standard office equipment is required. Must have advanced skills with Office 365 Suite of Applications (MS Word, Excel, PowerPoint, Sharepoint, One Drive and Outlook).Superior attention to detail and strong organizational skills.Proven ability to manage tasks to completion and ensure follow-up when delayed.Excellent verbal and written communication skills.Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy.Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response.Willingness to assume additional responsibility and learn new skills.Must be able and willing to work at a desk for long period of time and be physically able to lift, push or pull up to 25-50 pounds.Position Type and Expected Hours of WorkThis is a full-time exempt position. Days and hours of work vary according to the business demands, but the typical schedule would be Monday-Friday, 8AM-5PM.
