    • Functions in the operating room as the primary coordinator for the scheduling of elective surgical procedures and entry of post-operative data in the computer and under general supervision of the Clinical Nurse Manager, performs a wide variety of billing, scheduling and administrative services for Surgical Services.
    • Maintains a close relationship with: The Finance, Compliance and Purchasing Departments, SDC, PACU and Endo. Assists in receptionist duties when needed in the front office and has general knowledge of all aspects of the front desk and the computer program. Is able to function as a focal communicator and resource person pertaining to the O. R. staff, Physicians, and other hospital department personnel when needed regarding billing, charge entry, and reconciliation. Responsible for training and orientation of new staff members to charge entry requirements. Responsible and accountable for accurate and timely charge entry, reporting and reconciliation. Ensures all charges are entered and validated prior to month end and within 24-48 hours of procedure. Develops and maintains a harmonious environment and is in close contact with the Clinical Managers, Charge Nurse and Resource Nurses in the coordination of the operative schedule.
      • Acts a primary resource for all scheduling issues.
      • Answers telephone in a professional manner.
      • Keeps patient and employee information and all correspondence confidential, in compliance with HIPAA.
      • Schedules elective surgical procedures using correct codes based on awareness of anatomy and physiology.
      • Obtains and enters necessary booking information from person requesting surgical time.
      • Allows adequate time for each procedure according to the time-weighted average.
      • Remains knowledgeable of new surgical procedures and equipment to better facilitate scheduling needs.
      • Is aware of instrument and equipment limitations of department.
      • Reviews and updates surgery schedules daily, for all surgical cases beginning one-week prior.
      • Follows established guidelines for scheduling the number of rooms on a given day according to block time.
      • Communicates special equipment, instrument, and supply requests to specialty heads.
      • Works with Manager maintaining and managing efficient utilization of block time.
      • Coordinates future schedule staffing needs with the Team Leader.
      • Works with IT and OP time staff to ensure new procedures and instructions are inputted to scheduling databases.
      • Refers conflicts and procedural questions to Director.
      • Performs ongoing communication with patients, families, staff, surgeons, volunteers, and other departments.
      • Obtains cosmetic pricing from surgeons offices and confirms pricing and makes adjustments when needed.
      • Forward final pricing and procedure to finance, pre-registration.
      • Oversees and verifies entry of billing information into the billing system. Responsible for verifying all charges entered by nursing staff
      • Ensures charge capture on supplies and implants with 100% accuracy, through verification of documentation and collaboration with OR nursing staff and vendors.
      • Posts all charges within 24 hours of procedure, 90% of the time (Exceptions are weekends and holidays).
      • Ensures all charges are entered prior to month end. Notifies manager and director if any delays occur or are likely to occur.
      • Represents the surgical services department at charge capture or other meetings related to charge entry/capture.
        • Ability to perform repetitive or routine duties working from detailed instructions and under standard procedures. Requires the making of minor decisions.
        • Ability to proceed independently following standard practices for routine procedures, referring questions or problems to supervisor.
        • Ability to communicate and interact effectively with adult patients age 18 and over, geriatric patients, occasional adolescent patients, families, coworkers, physicians, and staff from other departments.
        • Ability to work with frequent interruptions; respond appropriately to unexpected situations.
        • Ability to organize work and manage change. A flexible planner who can adjust to the changing needs of the department and organization.
        • Ability to function independently, motivated, self-starter.
        • Familiarity with computer system capabilities and procedures.
        • If applicable, ability to advance basic computer skills as the health system adds new systems or performs upgrades to existing systems.
          • Education: High school graduate or equivalent required.
          • Experience: Two (2) years of secretarial experience with medical background required.
          • Software/Hardware: Epic, Excel, MS Word
            • Schedule: May include 8-12 hours a day with overage based on individual unit needs. Personnel are expected to cover for absences by working extra shifts.
